New ObjectGroup: What information is required?

The following information is required for onboarding:

  1. ObjectGroup: This name can be changed later.
  2. Admin name: This becomes the login name of the ObjectGroup's first administrator.
  3. Admin e-mail address: This is required to ensure secure onboarding.
  4. Short description: Enter a short description of the ObjectGroup to be created.

Items 3 and 4 can be changed later by the administrator.

Onboarding: I entered the wrong e-mail address. How can I change it?

Wait 10 minutes. You can then register the ObjectGroup again with the correct e-mail address. Verify the e-mail address before submitting the onboarding request.

Register: How do I register a user?

The administrator of an ObjectGroup must invite a user. The administrator creates the user and, if an e-mail address is provided, the new user receives a QR code directly by e-mail to complete registration.

If no e-mail address is available, the administrator receives an OTP (one-time password) and must send it to the user through a secure channel such as WhatsApp, Threema, Telegram or Signal.

The user name is included in the QR code. If registration uses an OTP, the administrator must tell the new user the login name directly.

Login: What should I do if sign-in fails?

Check your internet connection. If you receive a connection error, try again in a few minutes.

Check that you selected the correct user and make sure your PIN is correct or that biometric identification can identify you.

If you are told that your user no longer exists and the counter counts down to zero, contact your administrator. Ask why your account was deleted and whether a new user can be created for you.

Profile: Which personal details can I change?

Your first name and last name are mandatory; all other details are optional.

If an e-mail address is provided, you or the administrator can request a QR code to register your user on a new device. You can register your user on up to three devices.

Security: How do I protect my account?

When FFHomeCal is set up for the first time, you create an app PIN and must keep it safe. Your PIN or biometric authentication is requested during important flows.

To register a second device, you can display or send yourself an OTP (one-time password), or ask your administrator to do this for you.

During registration, your user name is bound to your device and stored securely. You can sign in only with that device and your PIN or biometric authentication.

Appearance: Which display options can I change?

You can use a day (light) view or a night (dark) view, or let the system setting control the appearance automatically.

You can define week numbering according to the ISO standard, the US/North American standard or the first full week.

Choose the app icon that should be displayed on this device when you sign in.

You can set the colour of your reservations in the Calendar colour section.

Calendar: How do I navigate the shared calendar?

Select the month or year directly above the calendar, or swipe right (one month back) or left (one month forward) in the calendar.

Press the Today button above the calendar to return to the current month.

Reservations: How do I create or change a reservation?

New reservation: Select the start and end dates in the calendar. If the period crosses the end of the month, swipe the calendar left or right. To reserve one day only, press the same day twice.

Delete a reservation: Long-press your reservation to open a pop-up where you can delete it.

Change a reservation: Add another period at the beginning or end of your reservation. A pop-up will ask whether you want to connect the existing reservation with the extended reservation.

Delete part of a reservation: Select the start and end dates within your reservation. You will be asked whether this range should be deleted. To delete one day, press that day twice.

Admin menu: Which tasks can an administrator perform?

The administrator manages the ObjectGroup through self-service.

The administrator can create additional administrator users, which is recommended, to help manage the ObjectGroup.

The administrator invites users who can either access the calendar and shared objects in read-only mode (User-RO) or create reservations themselves (User-RW). Users can also be deactivated, blocked or deleted. Reservations belonging to a deleted user are lost.

If a user loses or resets their device, the administrator can request a new QR code if the user's e-mail address is stored, or create a new OTP so the user can register again.

The administrator manages all ObjectGroup objects and defines reservation rules such as minimum and maximum duration and the maximum number of days per person and year.

The administrator decides whether reservation details such as name, first name or user name are visible when users long-press another user's reservation. This is disabled by default. The administrator also defines the ObjectGroup's time zone.

The administrator decides whether reservations are checked automatically (default) or manually. A small red dot in the lower-right area of the day indicates this. It disappears once the administrator accepts the reservation.

All users menu: Which functions are available?

All users have the following menu items:

Profile: Administrators and users (User-RW/User-RO) can enter their first name and last name (mandatory), as well as optional details such as date of birth, town, postcode, street, country, e-mail address and telephone number. The e-mail address must be validated with a response code and can be used for recovery processes such as requesting a new QR code.

Security: Users can choose whether to use biometrics with or without PIN fallback and how long the PIN remains valid after entry. They can register up to <max-devices> devices and change the FFHomeCal app PIN.
